EGU Topical Conferences: Promotion
The promotion of the conference by the EGU Office could include but would not necessarily be restricted to:
- Incorporate addresses of potential participants and the scientific programme into the EGU Database (COSIS).
- Establish and permanently update a Conference Home Page on WWW containing the entire information about the meeting including registration, hotel booking and abstract forms, the preliminary and the actual scientific programme and the macros for the submission of abstracts and of conference papers in "camera ready" form.
- If necessary, compile, print and distribute a Call-for-Papers leaflet or letter based on the input provided by the Programme Committee, including all relevant information about the venue, the scientific programme, the registration and hotel booking forms and the guidelines for submission of abstracts and of conference papers in camera ready form.
- Advertise the conference and the scientific programme via posters, adverts in magazines, direct mailing etc.
- Edit, print and mail any type of guidelines for Session Organizers, Editors, Chairs etc.
- Organize Programme Committee Meetings when necessary.
Remark: Sometimes it may be advisable to distribute a kind of First Announcement before the actual Call-for-Papers (Second Announcement) and to include a questionnaire Notification of Interest, asking potential participants whether they intend to present a paper and within which topic and/or whether they wish to organize a special project meeting during the course of the conference. In this case the EGU Office would collect the information and would pass it on to the Organizer(s).
Details should be mutually settled between the Organizer/Organizing Committee and the EGU Office!
