General Guidelines & Service Charges
The European Geosciences Union (EGU) welcomes the publication of collections of extended but self-contained communications in the Earth, planetary and solar system sciences in book form in the Stephan Mueller Special Publication Series. Organizers of such collections are kindly asked to consider the following guidelines:
- Regarding the publication of an issue in the Stephan Mueller Special Publication Series, the corresponding Organizer(s) should first contact the Managing Editor to obtain his/her agreement for such a publication. Thereby the Organizer(s) should forward a detailed list of potential Editors (Guest-Editors) and Referees that will ensure that the incoming manuscripts are properly reviewed and handled as described in the Reviewing Process.
- The Organizer(s) should then inform the EGU Editorial Office about his/her/their publication by providing its title, the names of the guest-editors, the number of contributions expected, its overall expected page budget, and the deadline for the submission of manuscripts.
- Upon registration of the publication and of the guest-editors, the Manuscript-Registration and Evaluation Form is uploaded onto the web and accessible for the Organizer(s) and the Guest-Editors only, who are now kindly requested to complete and to update their parts of the form during the entire review process.
One of the major task of the Guest-Editors at this stage is to select the two referees for each contribution. Thereby, referees may serve as reviewers of several papers and may be selected from the list of authors of other papers or from the institute/department of the guest-editor. Certainly, the author or any co-author(s) cannot serve as referee of of his/her/their own paper. - The Organizer(s) has (have) to inform now the authors about the details for the submission of their manuscripts, incl. the overall lay-out of a manuscript, the manuscript number (MS-Nr.), the address of the respective guest-editor and, the modus and the deadline for submission.
With regard to the MS-Nr. we recommend to use a two to max. four letter/number abbreviation, e.g., of the name of the meeting, followed by the year and then by a running number (first come - first served). E. g. for the proceedings of the conference on Solar Wind Structures in 2004 a MS-Nr. could read: SWS-04-015. - Upon receipt of a manuscript, the corresponding Guest-Editor has to archive the paper on the Manuscript Registration and Evaluation Form, forward it to the respective referee(s), and keep tracking the manuscript throughout the process of evaluation by reminding the referee(s), when necessary (Review Process).
- The Referee has to review the paper carefully, complete the Check-List for Reviewers and send it to the respective guest-editor before the deadline date.
- The Guest-Editor collects the opinion of referees and summarizes the result of the reviewing process in the Editor's Report Form. This form is then submitted to the respective author.
- Revised and/or accepted articles should then be submitted by their authors directly to the EGU Production Office in accordance to the Guidelines for Manuscript and Article Submission, where they will be composed, compiled into book-form and uploaded onto the Web as described in the standard Production Process.
With regard to the final publication the respective Organizer(s) has (have) the following two options:
- All authors have agreed to pay a service charge of 10,- EUR per printed page of their article to the EGU. Then their articles are also published online and open access on the Internet and included in an ever increasing number of e-archives and science databases worldwide. In addition, for the list price of the actual book only the actual production costs will be considered. Moreover, the copyright for scientific use will stay with the author(s).
- All authors have denied to pay service charges. Then their article are published in a book, and, with regard to its list price, the EGU will charge three-times the actual production costs. Moreover, the copyright will pass over too the EGU.
Under all circumstances, however, authors will not have to pay any extra charges for their colour illustrations. Moreover, it should be understood that the book will only be published after all eventual payments have been settled.
