Guidelines for Session Conveners/Event Organizers and Organizers of Special Publications

The publication of proceedings is at the discretion of the appropriate Session Conveners or Event Organizers, i.e., the EGS does not insist on the publication of proceedings of Sessions/Symposia, Meetings, Workshops etc. organized or sponsored by the Society. The official journal for the publication of proceedings is Physics and Chemistry of the Earth. (JPCE)

  1. Sessions/Symposia, Meetings, Workshops etc. organized or sponsored by the EGS are automatically eligible for the publication of proceedings in JPCE. Otherwise, Event Organizers and Organizers of Special Publications have to apply for the publication of proceedings in JPCE by using the corresponding Request Form.
  2. Conveners and Organizers have to inform the EGS Office in due time about their intend to publish proceedings but well before finalizing the event programme. Only in this way it is guaranteed that paricipants know about this opportunity before the meeting and will thus be able to bring their manuscripts to the meeting accordingly.
    In case, the decission to publish proceedings is made only at the meeting, the Conveners and Organizers must inform the EGS Office within 1 month after the actual event took place.
  3. For events organized by EGS, the EGS Editorial Office will inform the participants/Session authors about the publication of proceedings; otherwise the Organizer has to fulfill this task.
    The Call-for-Proceedings must be accompained by the Guidelines for the Submission of Manuscripts.
  4. Conveners and Organizers must nominate Editors (about one Editor for 5-10 contributions) and inform them about their tasks and responsibilities (see corresponding Guidelines for JPCE Editors). The Editors will automatically appeare as Guest Editors of their corresponding thematic issue of JPCE and will receive a complementary copy.
    If  Editors are not nominated either before or shortly after the meeting in question, the publication of proceedings will be annulled!
  5. Conveners and Organizers may serve as Editors and/or Referees, however, not of papers of which they are authors or co-authors.
